Hours of copy and paste.
Someone opens each PDF or email, finds the same few fields, and types them into a spreadsheet.
I build document processing automation for small businesses. Invoices, orders, applications and other documents are picked up from your inbox or folders, the key fields are pulled out and checked, and the results go into Google Sheets, your CRM or another system. Anything uncertain gets flagged for a person.

Someone opens each PDF or email, finds the same few fields, and types them into a spreadsheet.
A swapped digit or a missed line item isn’t noticed until a report or a customer catches it.
Email attachments, shared folders, scans and uploads, in different layouts from different senders.
Month-end, enrollment season or a big order week creates a backlog that delays everything after it.
Operations, finance, admissions and admin teams handling invoices, purchase orders, applications, intake forms or delivery notes every week.
Not a fit: one-off documents, or decisions that need someone to read the whole thing carefully. People should handle those, with automation doing the filing and routing around them.
Each one is built around your document types, the fields you need, and where the data has to go.
Attachments sent to a dedicated inbox are read, the key fields pulled out, and a new row added to Google Sheets with a link back to the original file.
Your inbox, Google Sheets
Supplier, invoice number, dates, line items and totals are captured and checked (for example, that the lines add up to the total) before anything is posted.
OCR, OpenAI or Claude, your accounting software
Intake forms, applications and order forms become CRM records, with missing or inconsistent answers flagged.
ClickUp or your CRM
Fields the system isn’t sure about, and failed checks, go to a simple review step where a person confirms or corrects them before the data is used.
Google Sheets or a review form
Documents get renamed consistently, saved to the right folder, and sent to the person or system that needs them next.
Your shared folders
Rules that catch repeated invoice numbers, impossible dates, wrong formats and values outside the expected range.
n8n, Make, Zapier, custom rules
Paste four labeled lines and see them turned into a record, with missing fields, bad dates and duplicates flagged. It’s a simple version of the checks I build, and it runs in your browser.
It depends on the documents. Clean digital PDFs from a few senders are much easier than handwritten forms or poor scans in many layouts. Rather than promise a percentage, I test extraction on a sample of your real documents during scoping and design the workflow around what I find.
Every build has checks and a review step, so uncertain results go to a person instead of slipping quietly into your systems. The method depends on your documents: templates for consistent layouts, OCR for scans, and AI models for varied layouts, often combined.
Documents often hold personal or financial information. Before anything is built, we agree where files are processed, which OCR or AI services are used, how long data is kept and who can see it. I only send third-party services what the job needs.
We look at your document types, volumes, and where the data needs to go.
I test extraction on a sample of real documents, and we agree fields, rules and review steps.
I build the pipeline, then test it on documents that are messy, incomplete or unusual.
We go live with the review step in place, and I show your reviewers how it works.
I pick extraction services and destinations to suit your documents and the systems you already use, and connect them with n8n, Make or Zapier.
Wherever I can, I build in accounts your business owns, so the workflows, logins and data stay yours.
Usually, if the scans are readable. OCR quality depends on resolution, handwriting and layout, so I test on your real samples before picking an approach.
Often, alongside rules. AI handles varied layouts well, and the rules catch the mistakes AI makes. Anything uncertain goes to a person.
We agree data handling during scoping: which services process the files, where data is stored, how long it’s kept and who has access. I send only what the job needs to any third-party service.
Yes, that’s common. Varied layouts usually call for AI-based extraction plus checks, and I test across a sample of your suppliers before launch.
