Missed calls during the workday.
When everyone is with a customer, calls go to voicemail, and some people won’t leave a message.
I build AI voice agents and chat assistants for small businesses. They answer the routine questions, collect the details your team needs, book appointments where it makes sense, and pass anything sensitive or unusual to a person, with a summary saved to your CRM.
Free 30-minute Automation Growth Audit. Bring one task. No prep needed.
When everyone is with a customer, calls go to voicemail, and some people won’t leave a message.
Questions come in when you’re closed and wait until the next working day, or longer.
Hours, what to bring, how booking works. Fair questions, but the same ones again and again.
Notes on paper or in someone’s head mean every callback starts from zero.
Clinics, salons, home services and trades, property managers, professional firms, and any team that gets a lot of similar calls.
Not a fit: if most calls need judgment, empathy, or negotiation from the first sentence, an assistant should only take messages, or a live answering service may serve you better.
Each assistant is set up for your calls, your questions and your handoff rules. These are the common builds.
Answers in your business’s name, handles common questions from information you’ve approved, takes the caller’s details, and transfers the call or takes a message when a person is needed.
Vapi or Retell, your phone number
Covers evenings and weekends: notes why they called, flags urgent calls using your rules, and books a callback for the next working day.
Voice platform, calendar, SMS
Answers questions on your site from your own approved content, asks a few qualifying questions, and offers to book or hand the chat to a person.
Website chat widget, your CRM
Replies to incoming texts, gathers details, and keeps the thread in one place so someone on your team can step in at any point.
SMS provider, team inbox
Every conversation ends with a short record: who got in touch, why, what was promised, and what happens next. Saved to your CRM or sent to the right person.
ClickUp or your CRM, n8n, Make or Zapier
Clear limits on what the assistant can say and do, and a set path to a person for complaints, emergencies, payments, or anything off-script.
Call transfer, SMS alert, team inbox
Running costs come from a few pieces, and you should see each one before approving a build: the voice platform (usually billed per minute), the AI and speech services, a phone number and call minutes, any texts sent, and any CRM or calendar features you don’t already have. Most of it is usage-based, so the cost depends on how many calls you get and how long they last.
In February 2024 the FCC confirmed that AI-generated voices count as “artificial” voices under the Telephone Consumer Protection Act. So outbound calls that use an AI voice generally need the person’s prior express consent (FCC declaratory ruling 24-17). I focus on inbound calls and on people who asked to hear from you, and I recommend the assistant says it’s an AI at the start of every call. This is general information, not legal advice.
We look at your calls and messages, the common questions, and where a person must step in.
We agree what the assistant can say, what it collects, when it hands off, and how we’ll measure it.
I test it with realistic calls, interruptions and background noise before any customer hears it.
Start with limited hours or one line if you like, then adjust once real calls come in.
I pick the voice platform for each project based on voice quality, response speed, call transfers and running cost, and connect it to your calendar and CRM. You hear test calls before anything goes live.
Wherever I can, I build in accounts your business owns, so the workflows, logins and data stay yours.
There are two parts: the build, which depends on scope, and running costs, which are mostly usage-based (voice minutes, AI usage, a phone number and calls, and any texts).
It shouldn’t guess. It takes a message, transfers the call or books a callback, following your rules, and the summary tells your team exactly what the caller needed.
I focus on inbound calls and on following up with people who asked to hear from you. Outbound calls that use an AI voice generally need prior express consent under the TCPA, so I treat them case by case. This is general information, not legal advice.
We agree what the assistant collects, where transcripts and recordings are stored, who can see them, and how long they’re kept. Callers should be told if calls are recorded, and the assistant shouldn’t ask for sensitive details it doesn’t need.
